Where hotel operations quietly lose time

A hotel rarely fails in one dramatic moment. It loses minutes and goodwill in small ways, all day.

Faults that live in a notebook

A leak gets written down at the front desk, then someone has to remember to chase it.

Handovers that depend on memory

At shift change, open jobs get lost, repeated or explained twice.

Rooms nobody can see

The front desk phones the floor to find out where a room stands before it assigns an arrival.

Reports written after the fact

By the time the end-of-shift report is finished, the moment to act has passed.

Most of it is small, quiet and daily. Floorstate makes it visible while there is still time to act.

How Floorstate helps your hotel

A shift, from the first login to the handover, when every room and every fault sits in one live view.

  1. Start of shift

Everyone logs in with a role

Each person sees the part of the hotel their job needs, and nothing that gets in the way.

    • Housekeeping sees only the rooms assigned to them
    • Maintenance sees the work orders assigned to them
    • Supervisors get an inspection queue for their floors
    • Managers see every room across the property
  2. On the floor

A room is updated in one action

The attendant updates a room as they finish it. Everyone else sees the change straight away.

    • The room grid changes for every role at once
    • Management reads progress live, with no end-of-shift report
    • Every change is timestamped in the audit trail
  3. When something breaks

A fault becomes a work order

The person who finds the fault logs it once, in the room. It reaches the person who fixes it.

    • Room, priority and a photo, in under a minute
    • Assigned to the right person before they have to ask
    • The room shows in Maintenance status on the grid
  4. Before arrivals

    Supervisors sign rooms off

A turned room goes to the supervisor's inspection queue. The flow is one-directional, so a room cannot skip inspection.

    • The queue shows which rooms are still waiting
    • The supervisor knows where to walk next
    • Sign-off is recorded with a timestamp
  5. Shift handover

    The backlog is the handover

The outgoing team does not have to recall each open job. The incoming team opens the same list.

    • Open work orders ranked by priority
    • Each one with its room and photo
    • Management sees how many are assigned and how many are not

Figures are from one 302-room hotel. Results will vary with property size and staffing.

One system, three roles

Each person logs in with a role and sees what their job needs. Everyone works from the same live picture.

Housekeeping

For attendants and supervisors on the floor.

  • See only the rooms assigned to you
  • Update a room in one action
  • Log a fault with a photo without leaving the room
  • Supervisors get an inspection queue for their floors

Maintenance

For engineers and technicians.

  • Every fault arrives as a work order with room, priority and photo
  • Work orders are assigned to you before you have to ask
  • The open backlog is ranked by priority
  • Shift handover is the same list, not a conversation

Management

For duty managers and general managers.

  • The whole property in one live view
  • Open work orders by priority, with who owns each
  • Role-based access, so each team sees only what it needs
  • An audit trail of every change, with timestamps

Questions before you ask

Can I use Floorstate at my hotel today?

Yes. Floorstate has been tested on a real 302-room hotel. To see it on your own floors, send your room count and how housekeeping and maintenance run today. We reply within one business day with what a walkthrough or pilot would involve.

Who sees what?

Staff log in with a role, and access is role-based (RBAC). Housekeeping sees the rooms assigned to them. Maintenance sees the work orders assigned to them. Managers see every room across the property.

Does Floorstate replace our property management system?

No. Floorstate covers room status, work orders and job assignment. It does not handle reservations, rates or billing, so it sits alongside your property management system (PMS).

What size of property is it built for?

Properties with 50 rooms or more. It was tested on a 302-room hotel, which is why the case studies on this site use that number.

Where is our data kept?

Room and staff data is stored in a managed database, and access is limited by role. For how we handle the details you send through the contact form, read the privacy policy.
